Terms of Service

  • Timings:

Shooting times do not include setting the camera up, and packing down. Our Freelancers are instructed to arrive in advance, to ensure their equipment is set up before the booking time begins. 

  • The Brief:

Our Freelancers work with the brief provided by the client. If the brief is not concise and therefore the final result is not concise, the client will take full responsibility for this. If the brief is concise, but the videography/photography and/or edit is below par, Picta Productions Ltd will take full responsibility for the error.

  • Kindness, respect and protecting our freelancers:

Picta Productions Ltd only employs freelancers who show kindness and respect for others. We expect this back from our clients. 

Picta Productions Ltd does not tolerate bad behaviour towards any of our talented freelancers. In the event of our videographers and/or photographers being spoken to in a bad manner by a client, our directors will instruct them to leave the shoot, and the client will not receive a refund. In an unlikely incident where this occurs, Picta Productions Ltd will take action and inform other creative agencies, as well as the authorities. Bad behaviour includes; Racist, sexist or homophobic language, curse words directed at freelancers, unnecessary sexual language, unprovoked touching, or any kind of rude statement which people, typically our freelancers, may find offensive. 

In the event of a guest expressing bad behaviour to one of our freelancers, our directors will be informed of the situation immediately. If the situation allows, the client will then be approached by the freelancer, where the client will be expected to remove the bad behaving person. If the person is not asked to leave, our freelancer will be instructed to leave, and the client will not receive a refund.

Before or after the shoot, any abusive emails or messages by the client to any member of staff at Picta Productions Ltd will result in the client being blacklisted. This includes emotionally belittling behaviour, swearing, and any kind of insulting language. The client will also receive no refund for any incomplete work should this occur before delivery is complete.

  • Illness and unexpected events:

Picta Productions Ltd will not be liable to Client under any circumstances if its performance is prevented or impaired due to riots, insurrection, strikes, walk-outs, war, adverse weather conditions and earthquakes, shortages or unavailability of labor or materials, laws or governmental restrictions which conflict with the terms of this agreement, or any other matter beyond the reasonable control of Picta Productions Ltd.

In the event of any unanticipated freelancer illness Picta Productions Ltd shall make reasonable efforts to substitute another competent professional. If another freelancer cannot be assigned in time for the event or shoot, Picta Productions Ltd shall promptly return all fees previously paid by client. Picta Productions Ltd reserves the right to decline outdoor photography and/or videography in the event of inclement weather. Client is responsible for providing an alternate nearby location in the event of inclement weather.

  • Open hours:

9am to 6pm. Emails may be sent in the evening due to the nature of freelance workflows. 

  • Booking dates, times and locations

Please note that after a client has accepted our terms and conditions and signed a Picta Productions Ltd contractual agreement, Picta Productions Ltd will then be contracted to film and edit the agreed specifications in said contract. Please contact us if your circumstances change or you wish to amend the contract conditions in any way. All information regarding our prices and packages is clearly stated on our website (pictaproductions.com), and we will do no more or less in terms to what has been booked by the client. The client chooses locations, start times, content and more, but Picta Productions Ltd will not exceed what has been booked in accordance with the chosen package(s). Once the booking has been confirmed, the date(s), times, and location(s) the client has provided us with are immediately apart of the contract. In addition to this, our clients can then change this information at a later time should they wish. For example, if an engaged couple originally wanted us to film from 1pm to 11pm, but then decide 12pm to 10pm would be better, this can easily be changed. If a client asks us to start filming at 12pm and still finish at 11pm, Picta Productions Ltd will simply point out that the contract does not exceed 10 hours. The price per extra hour of shooting is £150.00 per videographer and per photographer. If the client wants to include more photos, the price per extra edited photograph is £2.00.

  • Return policy:

Booking requires a non-refundable 20% deposit. If you have paid the full amount and cancel prior to the shoot date, you will receive an 80% refund.

If you are only requiring raw footage, and are unhappy with the quality, Picta Productions Ltd will provide a refund if the majority of the footage is; shaky, damaged or out of focus. If our directors can see clear issues, a refund will be sent as soon as possible. Please note the clients deposit will not be apart of this refund, and an 80% refund may also not be provided, depending on the damages made to the footage prior to the client receiving it.

  • Editing Work:

Picta Productions Ltd will send the client an email with the invoice and contract attached to sign. In this email, there will also be a link to the music platform we use as background music for any films. Picta Productions Ltd wants to give the client the chance to select music of their preference. If the client wants to choose their own music, they must let us know their decision prior to filming taking place. If the filming date has arrived and the client has not provided this information, Picta Productions Ltd shall make the selection of songs for the final edit(s).

  • Re-Edits:

If a client is unhappy with the edited material, any further re- edits for highlight films (less than 5 minutes) are £200 each. Any mid-length re-edits (5 to 25 minutes in length) are £400 each. Any re-edits longer than 25 minutes in length are a minimum of £500. Please note that all material subject to a re-edit must have a concise, written brief sent to Picta Productions Ltd by the client. This brief can be written on the Dropbox link sent to the client with the video(s) in it. Or if preferred, it can be sent to Picta Productions Ltd via email.

In the event of re-editing of photographs, the client will be charged £1 per photo they require to be re-edited.

In the event of photoshop being required to remove objects or people from photographs already edited and sent to the client by Picta Productions Ltd, each photo which requires this service, will incur a cost of £10 per photo, at the minimum.

  • Drone filming and drone photography

In the event of a client booking a drone for either photography or videography, any further costs inflicted in flying the drone in the client’s chosen location will result in the client being charged the amount required by any third party. If Picta Productions Ltd is required to provide a risk assessment due to the location of filming chosen by the client, the client must inform Picta Productions Ltd of this. Filing a risk assessment for drone comes with a cost of £100 for the client.

Picta Productions Ltd uses www.noflydrones.co.uk to establish whether Picta Productions Ltd can use a drone in the location chosen by the client. Please note; this map is updated behind our drone system software. In certain areas, our drone systems may not take off due to high tech safety features, even if the map on www.noflydrones.co.uk states otherwise. In this case, Picta Productions Ltd will refund the price of drone filming. However, the payment for filling out any risk assessment forms is non-refundable.

  • Payments

Payment is due 14 days prior to the shoot date. If payment is not made on time, Picta Productions Ltd reserves the right to cancel the booking, with no refund of the deposit being made.

  • Privacy Policy

Picta Productions Ltd does not share any information given by any client with any business or person, unless a client has been blacklisted for bad behaviour. Our directors and the freelancer(s) assigned to your project are the only people that will have access to the information you have provided.
